How Oceania Healthcare standardised 144 printers across 35+ sites in under a month
Rapid nationwide deployment

144 devices standardised across more than 35 sites in under a month.

Minimal demand on internal IT

Zero escalation calls to leadership during the transition, followed by a seamless low-touch experience.

Greater cost visibility and flexibility

Transparent billing and flexible device deployment provide visibility and align capacity with facility needs.

Background

With more than 30 retirement villages and care centres across New Zealand, Oceania Healthcare provides independent retirement living and specialised aged care. Reliable printing supports everyday operations, from producing menus and resident communications to support the daily care and medical requirements of Oceania’s residents.

To create a more consistent, secure and manageable print environment, Oceania Healthcare partnered with FUJIFILM Business Innovation New Zealand (FBNZ) to standardise its fleet of printers and strengthen support across its sites. “It’s exactly what we wanted. We’ve had no issues - I can’t say anything better than that.”

Situation

As its requirements evolved, Oceania identified opportunities to improve cost visibility, strengthen account support and simplify management of its print fleet.

Reliable printing is important to day-to-day operations, explains Andrew Mantle, ICT Security and Operations Manager at Oceania Healthcare.

Device configurations varied across sites, creating an opportunity to standardise the experience for staff and simplify support. Oceania also wanted to strengthen centralised oversight and enhance security capabilities to support evolving compliance requirements. Moving beyond its existing on-premise configurations would support easier printing between villages and sites.

Maintaining an accurate view of the print fleet across a changing property portfolio required additional manual effort from the internal IT team.

Oceania was looking for a more collaborative service model, with proactive support and clear ownership of issue resolution.

Alongside these priorities, the organisation was looking for greater fleet resilience and improved user mobility.

“We wanted something that would be pretty bulletproof for probably the next five years.”

Before the contract came up for renewal, the FBNZ team had invested time in understanding Oceania’s operational requirements.

FBNZ’s understanding of Oceania’s requirements and commitment to the proposed rollout timeframe gave the Oceania team confidence to proceed.

“We just had the confidence that they would do it,” says Andrew.

Solution

Oceania’s trust in FBNZ was well founded. FBNZ’s regional teams worked together to execute the full rollout, across more than 30 sites in under a month.

“I’d expect a rollout previously would have been three months... This is one month. It’s the best rollout in all my years, and that’s sort of saying something.”

The fleet was standardised with 144 A3 and A4 Apeos multifunction devices, managed through YSoft SAFEQ Cloud. Universal card-release authentication and Wi-Fi connectivity now allow authorised staff to print securely across locations, supporting greater mobility between sites and care suites.

“It’s exactly what it says on the tin... It’s just working.”

While cost savings were not the primary driver, transparent billing and greater visibility of print usage have been additional benefits. Oceania can align device capacity and costs to the needs of individual facilities, providing greater flexibility across its network.

Results

During implementation, the FBNZ team worked together to catch and resolve any issues early, meaning leadership received zero escalation calls during the entire transition.

The rollout required less intervention from Oceania’s leadership than anticipated, with no escalation calls during the transition.

That low-touch experience has extended beyond install. The simplicity of the setup and FBNZ’s proactive approach has seen the printers work seamlessly from day one. Compared with the time previously spent managing issues across the network, the new fleet requires significantly less day-to-day attention from Oceania’s central IT team.

“What you’ve got to understand is, in our environment, no news is absolutely awesome news. So, I’ve had no news at all — so I know it’s working. It’s just working.”
