The Challenges Faced

Goldbell Corporation believes that being at the forefront of conscious innovation is crucial to their relevancy in a changing economy. Their commitment to providing quick value-added services to their customers in productive ways has remained unchanged throughout the years. However, this commitment saw a risk of compromise due to a growing challenge brought on by the use of near obsolete technology.

The main issue lay in the process required to accomplish the company’s batch invoice printing. All company data was stored in the Enterprise Resource Planning (ERP) system, but thereafter, all procedures had to be handled manually. For example, because a dot matrix printer was used, the input tray of the printer had to be constantly topped up with preprinted forms, and the settings and alignment adjusted each time. Thereafter, it required a 3-person team over three days each to manually sort, fold and insert the documents into an envelope, totalling an entire 9 days to complete. This entire process proved to be inefficient, tedious and time-consuming.

Moreover, these pre-printed forms were expensive to produce, and took up too much storage space. They were also inflexible in that they were obsolete should the company change its business requirements, such as its address or the layout of the forms. Given this, existing forms would have to be discarded resulting in wastage. As the technology at the company was inferior, noisy, and produced poor-quality, low-resolution print-outs, further expense would have to be required for an external party to print new forms.

The company was in dire need of a solution that would not only increase efficiency in time, space and quality management, but also, prove to be cost-effective.

A Complete Solution: FUJIFILM Business Innovation and PlanetPress

A change in the system was all it took for Goldbell Corporation to switch to a more productive and efficient method of operation. Using the PlanetPress output management solution, data from the ERP could now be automatically sorted and sent for emailing, archiving, or to any print device, cutting out manual intervention.

Also, FUJIFILM Business Innovation’s D95 Copier/Printer’s innovative features and capabilities offered a printing-intensive environment (such as Goldbell Corporation) a solution that far exceeded expectations. Firstly, as the printer uses standard paper stock, this removed the tedious process of loading and reloading paper into the printer. Its automated process also cut out the entire manual process of sorting, folding and inserting documents into envelopes, thus reducing turnaround time significantly from 3 days to 1 day or less. In fact, much of the manual intervention required previously was eliminated due to the printer’s 14 auto multichannel distribution capabilities.

Further, the printer’s flexibility allowed for the production of dynamic finished products that met internal requirements, such as form design changes, on demand. Easy retrieval of softcopy documents and E-copy generation meant that pre-printed forms no longer needed to be stocked, saving storage space and cost. Massive postage savings was also possible with a 4-state barcode. On top of this, the possible creation of transpromo invoices with marketing messages translated to more revenue generation for the company.

The positive results were seen almost immediately with turnaround time massively reduced, efficiency significantly improved, and cost savings increased.
